Utilities Turn On/ Turn Off Management:
Once we receive notifications from clients to start or stop services for various properties, we call the Utility companies and turn on/off services.

  • As soon as a property is purchased, research which utility companies service that area.
  • Call the selected utility to start a new account & turn on services under relevant business names.
  • Similarly, turn off services & close accounts as soon as a property is sold, to save on billing

Account Maintenance and Update:
We collect the Account Nos. for any new services and keep each property record updated with account Nos., the turn on and turn off date

  • Fill in the details of every new account in client CRM.
  • Maintain proper records of Turn On and Turn Off dates.
  • We are responsible for maintaining records for all properties in the client CRM as well as online.

Bill correction & validation:
We analyse utility bills and if we notice any irregularities, we call the utility companies to send out a field rep to take an actual meter read and co-ordinate the credit back of any extra charges.

  • Validate every bill that is generated
  • Coordinate with Utilities to resolve discrepancies
  • Follow up calls, in case of delays in correction of bills

Online Bill Payment:
Most of the Utility companies have the option to pay bills online. So, we create online accounts for each property and ensure all bills are paid before the due date using the client 's payment details (CC/Debit Card)

  • Generate billing details from Appfolio for each property
  • Upload the invoice on Appfolio
  • Go to the utilities website and pay online, using the clients banking details (CC/ Debit Card)
  • Download the proof of payment and attach it on the property record on Appfolio

Data Management:
We manage the utility records by keeping a copy of the invoice and proof of payment for each property.

  • Back office data work like updating records, conversion of word and .pdf files
  • Upload images in the Client CRM
  • Data migration from one CRM to another
